Managing My Account

How do I sign up?

To sign up, you need to download the App and fill in the required fields.
If you have a Company Code, enter it and click Confirm.
Register by entering your email address, a password, your first and last name, and your phone number.
The password must contain at least 8 characters, including one uppercase letter and one number.
Give the consents required by the App to proceed with registration and click “Register”.
Then enter the one-time code sent to the email address used during registration.
If you haven’t received the one-time code, click Resend.

Deleting my BePooler account

To delete your BePooler account, go to the Profile Data section > Delete User.

Is the profile photo mandatory?

No, the photo is not mandatory. However, seeing the face of the person you’ll be traveling with is important and reassuring, making it easier to recognize each other at the meeting point and increasing the chances of getting or offering a ride.

Change/Recover my email

To change your email, log in with your credentials and go to Profile Data > Email to enter your new one.
Remember to use the new email for future logins to the app.

Change/Recover my password

You can reset your password from the Login screen.
Follow these steps:

  • Select “Forgot Password
  • Enter your phone number
  • Click “Confirm”
  • Open the link received via SMS
  • Fill in the fields to set a new password
  • Log in to the App again using your new credentials

Where do I find the Sponsor Code and what is it?

The Company Code is provided by your company contact person and allows you to benefit from the incentives offered by your company.
By entering the correct code, you’ll be able to see all your colleagues and plan your Carpooling trips with them.

The Company Code is not valid

If the Company Code is not accepted during registration, verify it with your company contact.
If the code is correct, make sure you’re registering with your company email.
If you still can’t register, contact BePooler support.

Is the Tax Code mandatory?

Yes, to book a trip, it is necessary to enter your Tax Code in the Profile Data section.

I can’t upload my ID document

Take a color photo of the original document. Make sure the image is clear and all data is readable.
If you still encounter issues, send an email to support@bepooler.com attaching your documents and your IBAN.
BePooler will take care of uploading it for you.

My account is not verified

If your account has not been verified, try the verification process again.
Make sure you uploaded photos of your original ID document and that the image is in color.

How to update my profile information

From the Profile Data section, you can update departure/arrival addresses, schedules, and your vehicle information (car/motorbike).
Access the desired section and make the necessary changes.

Managing My Trips

Delete a Booked Trip

You can cancel a trip you have already booked by going to the Trips section > Planned > Cancel Trip.

How to certify my Trip

When you meet your travel companions, if you are a passenger, scan the driver’s QR Code to check in. Repeat the process upon arrival to certify the trip simply and securely.
If you’re the driver, have all passengers scan your QR Code to ensure you receive the correct score in the Statistics section.

I can't find the colleague I want to travel with

Make sure that you and your colleague have entered the same Date and Times for the trip, and that the departure location is within a compatible area.

If you still can’t see your colleague, try searching:
Go to Agenda > select the desired trip > Search User by name.

If no results come up, it’s recommended that you enter the same Departure and Arrival addresses to better coordinate the trip.

Trip Cost Estimate Information

BePooler’s algorithm, based on ACI rates but slightly reduced, estimates a cost of 0.30€/km for carpool trips.
This cost is evenly divided among all passengers and varies depending on the number of users in the car.
The more passengers, the lower the cost per person.
For very short trips below the calculated per-km value, the minimum fee is set at €1.00.

I can't book a trip

If you’re a Driver, make sure you’ve entered your vehicle details.

If you still can’t book your trip, contact BePooler support.

How to invite a user to travel with me

From the Agenda section, when you find a user compatible with your route, just select:

  • Request a ride” or “Request a friend ride” if you’re a Rider
  • Offer a ride” or “Offer a friend ride” if you’re a Driver

How can I view my Trip history?

Go to Menu > Trip History to view a list of all the trips you’ve taken.

The suggested route is not my preferred one

You can always take a different route than the one suggested by the App for your trip.

Note that the reimbursement will be calculated based on the route planned in the App.

Does the suggested route account for tolls or restricted traffic zones?

No, the suggested route does not take tolls or restricted traffic zones into account when calculating the trip cost.
Remember, reimbursement is calculated only on the kilometers of the trip.

How do I create my Trips?

To create a trip, set:

  • Your home-to-work-to-home arrival and departure times under Menu > Schedule
  • Your departure and destination addresses under Menu > Route

Now go to the Agenda to search for a travel companion.

Can I create trips with different schedules for specific days?

Yes, go to Menu > Schedule > Add new schedule to set different times for specific weekdays.

Can I change my role for a single trip?

Yes, for each available trip, tap the three dots on the right to change the trip details: switch your role (passenger/driver), choose an alternative mode of transport, or indicate if you’ll be working remotely.

My trip was cancelled

If a passenger deletes a trip, the other users in the group will receive a cancellation notification.
For Drivers: It’s strongly recommended to have multiple Riders in your group. Traveling with more Riders helps avoid issues from cancellations. You can invite as many Riders as you have seats available.
For Riders: Check right away for other available trips that match your route so you can book with another Driver.

I don’t see the trip in my History

To appear in your history, the trip must be confirmed.
You have 24 hours after the trip to confirm it. If the trip still doesn’t show up after 24 hours, contact BePooler support for help.

What is a Friend Ride?

This is a new feature that allows Drivers to waive the reimbursement from a Rider.
A Driver can choose not to request a trip reimbursement, for example when traveling with a friend or family member.
In this case, only the Rider will be asked to pay a small contribution for using the platform.
The Driver may decide to offer a Friend Ride to just one or all members of the group.

Friend Rides are shown in the Trips section and marked with a heart icon.

Managing My Payment Methods

Credit Card not accepted

Make sure all information is entered correctly, that your card is valid, and that it belongs to one of the accepted networks (Visa, Mastercard, 3D Secure, ACH Credit Transfer, Bancontact, EPS, Giropay, iDEAL, Multibanco, p24, SEPA Direct Debit, SOFORT, ACH, Masterpass, Visa Checkout, Apple Pay, Google Pay, Microsoft Pay).

How to choose the active card

The “” icon next to a credit card indicates the one currently in use, which you can change at any time.

How to delete a registered Credit Card

You can manage your credit cards at any time by going to Profile Data > Payment Methods > Credit Card.

Can I register more than one IBAN?

No. Only one IBAN can be registered at a time.
However, you can change your IBAN at any moment.

Will my identity be verified every time I change my IBAN?

No. Identity verification is only required the first time you activate an IBAN.

How to download the total amount accumulated

The accumulated total is transferred to your registered IBAN 7 days after the trip date.
To receive the payment, you must reach a minimum threshold of €1.00.

Will I see my transactions in real time?

Your Balance will be updated within 24 hours after the trip ends, and the Rider’s credit card will be charged at that time.
The Driver will receive reimbursement 7 days after the Rider’s transaction.

Please note that transaction times are completely dependent on the banks and payment providers, and are not managed by BePooler.

Voucher issuance method

If your company participates in this initiative, once you reach a set threshold (e.g. 10 trips within a calendar month), you’ll receive a Voucher (Fuel or Grocery) redeemable at partner locations.
You’ll get an email from BePooler with all the details, sent to the address you used to register.
The delivery method and voucher amounts are determined by each company and may vary.

Parking

How to book a parking spot

If provided by your company, a parking spot will be automatically assigned to you—subject to availability—after you’ve planned a trip.

  • To book a car parking spot, you must have a car registered in your profile.
  • To book a motorcycle parking spot, you must have a motorcycle registered in your profile.

In the Agenda section, you will see the assigned parking spot directly within your planned trips.

Non-Carpooling Parking

If your company code grants access to the Parking section, you’ll be able to view a list of bookable parking spots even if you are not carpooling.

What does the color of the parking “P” symbol mean?

The color indicates parking availability and comes in two variants:

Verde: Spots are still available

Rosso: Oops! All parking spots are occupied

How to book a Park&Ride Spot

Only authorized users will be able to view and select “Park&Ride Parking” as an arrival location from the Profile section.

How to book an ATM Parking Spot (City of Milan)

To book a free parking spot at the ATM parking garages, you must email a copy of your Driver’s License, Insurance Certificate, and Vehicle Registration Document of the car you’ve registered to: support@bepooler.com

If you are participating as a Rider, your driver’s license must be verified as valid.

If you are a Driver, all relevant documents will be verified, including: Validity of insurance and license, compliance with mandatory inspections, and the car must not be Petrol Euro 0, Diesel Euro 0, 1, 2, 3, 4 without a particulate filter.

Currently available ATM parking locations include:

  • ATM Cascina Gobba – Viale Padova, Milan
  • ATM Caterina da Forlì – Via Caterina da Forlì, Milan
  • ATM Famagosta – Via Palatucci, Milan
  • ATM Molino Dorino – Via Appennini, Milan
  • ATM Rogoredo – Via Pizzolpasso 7, Milan

What if I arrive at the parking lot and it shows “Full” or a red light?

You can still access the parking lot.
If needed, ring the intercom, introduce yourself as a carpooling user, and provide your name and the license plate number registered for parking.

You have a reserved spot, so you are allowed to park.

Do I still need to take a ticket at the entrance?

Yes. To exit, go to the operator at the cashier with your parking ticket, provide your license plate number and your name to obtain the exemption and retrieve your vehicle.

What happens if I lose the parking ticket?

If you lose the ticket or use the parking space beyond your reservation time, you will be charged the equivalent of a 24-hour stay.
